How to tell if a task in your business is actually worth automating

Not every annoying task is worth automating, and chasing the wrong one is how small businesses end up with expensive tools nobody uses. Before you automate anything, it helps to run it through a short test. Here is the one we use with Ontario business owners.

The three questions

A task is a strong candidate for automation when the answer to all three is yes.

1. Is it repetitive? Do you or your team do it the same way, many times a week? Automation pays back on volume. A task you do twice a year is rarely worth the setup.

2. Is it rule-based? Can you write down the steps without using the word "depends" too much? Re-keying an invoice follows rules. Talking a worried customer off the ledge does not. The clearer the rules, the cleaner the automation.

3. Is it painful? Does getting it wrong cost real money, or does the task itself drain people who should be doing higher-value work? Pain is what makes the time saved actually matter.

The quick math

You do not need a spreadsheet. Multiply roughly how long the task takes by how often it happens. A ten-minute job done twenty times a week is over three hours gone, every week, on something a computer could do while you sleep. That is the number worth automating against.

The trap to avoid

The mistake is trying to automate the most complicated thing first, usually the one that needs the most judgment. Start with the boring, high-frequency, rule-based work instead. Where machines stop and people start

Automate the detection, the data entry, and the reminders. Keep the decisions with people. A warehouse automation can catch an exception in minutes, but a human should still decide how to fix it. That balance is the whole game.
